Problem statement
Business agreement on award status in scope for SITS integration.
Business Requirement for SITS/Jarvis Integration (TO-BE)
Business Requirements
Business Requirement for SITS data needed in Jarvis | Signed off |
---|---|
1 New (First Time) Students that have graduated with a degree (not short courses). SITS data will be pushed and ingested in Jarvis for all the awarded codes (listed below in the Award Codes table). 2 Changes (Future Updates) Address & other contact updates (retaining the current logic) along with education record updates for various award code types will be ingested as it is from the source side (SITS). | @AlainGasquet Feb 17, 2023 @Yeng SembranoFeb 17, 2023 |
Assumptions/Facts:
SITS contains all Sydney Student data, future, current and graduated;
SITS does not contain short course students information;
Students that have completed their studies are captured in the SAW (Student Awards) and SCY (Student Ceremony) Table;
SIT data that will be pushed and ingested for all award code types = AW – Awarded; CF - Conferred; AC - Awarded/Conferred; CA - Calculated; DR - Deferred; EL - Eligible; HS - Honours, MS - Masters; RE- Research Exam;
Dummy date for the awarded degrees and actual date to be received from conferred degrees;
SITS Final status is Graduand and there is no ALUMNI status in SITS, calculated during integration. (Jarvis Specific)
If alumniGraduandType = 'Graduand' and awardlist is not blank and conferredDate exists with a valid date value, then status = ‘Alumni’
If alumniGraduandType = 'Alumni' and awardlist is blank and conferredDate = null or not valid then status = 'Graduand'
SAW_UDF1 = Awarded, SAW_UDF3 = Conferred
Technical Solution Design
SITs data that will be pushed and ingested:
Award Codes (AWS) Records
Code | Short Name | Definition | Comments | Integration In Scope Y/N |
---|---|---|---|---|
AC | Awarded/Conferred | For Higher degrees like Masters, PhD's, Doctorates) : completion of all requirements. |
| Y |
AW | Awarded | For Higher degrees like Masters, PhD's, Doctorates) : completion of all requirements. (Eligible to graduate) |
|
|
CA | Calculated | Anyone with an AWARD.* progression outcome, but this status is temporary and does not guarantee that students will be awarded. If the student is a potential graduand they will be awarded, if they are not a pot grad they will eventually have the calculated award removed and status updated to allow further enrolment. | SAW_DATE empty | Y |
CF | Conferred | After the above statuses have been confirmed, students with an EL or AW status will be updated to CF (conferred) or AC (Award conferred), which enables them to attend a graduation ceremony. |
| Y |
DR | Deferred | Awarding of student has been deferred |
| Y |
EL | Eligible | For Graduate Certificates, Graduate Diplomas, Diplomas and Bachelor degrees): for Higher degrees like Masters, PhD's, Doctorates) : completion of all requirements. (Eligible to graduate) | SAW_DATE populated when they become eligible, will be updated to CF | Y |
HS | Honours | This is a special award status used by the Student Record team in case a student’s award and honours have the same title (e.g. Award: Bachelor of Music Studies, Enrolled: Bachelor of Music Studies (Honours), we update the awarded course to ‘Converted to Honours’) so they are not allocated to a ceremony and conferred. |
| Y |
MS | Masters | Similarly used by the Student Records team for students who have completed a course but are “progressing to masters” |
| Y |
RE | Research Exam | This special award status is placed on a research degree that is under examination for a example a PhD, which may take a long time before the thesis has been reviewed and passed or has to be resubmitted |
