Overview:
Currently the Donor Relations team are working in two different areas of Jarvis – Tasks and Cases. The team plan their upcoming work through Tasks by adding the reports that will be due over the next year to an excel spreadsheet and then uploading this to the system. Cases are used for any requests that are raised from staff in the Portfolio. Having their work in two separate places makes it difficult for the transparency and division of work amongst the team.
There is a capture that was recorded by Keri and the team of how they use the system as well as suggestions to the types of fields that Cases would require to optimise their on-system processes.
Planned next steps:
My planned next steps was to investigate what the different objects were in Salesforce that could support the team manage their work that was intuitive and wouldn’t require a large amount of customisation. I spoke with Keri and Melany about perhaps combining tasks and Cases – not in terms of providing a solution, more to dig deeper into requirements and introduce the question of what you would like to report on/see in your management of your work that would then inform the solution
e.g if there is an annual stewardship report that would be required over a period of 5 years
Would you want to have 5 cases – one for each scheduled report or
One case that shows the annual report that will be over 5 years with 5 connected tasks scheduled for each of the annual reports? or
would you also want to see/report on the need for an annual stewardship report for the 5 years
A note that there is also a ‘Stewardship’ object in our Salesforce however it would need a great deal of custom fields and functions to suit the teams needs but is worth consideration and investigation. Also flagging that currently this object is not hidden and so in terms of UX it is adding to confusion.
Current status as at 28.11.203
We have a work around for the mass upload from tasks to cases currently in progress and the move over to cases to begin. The cases objects may not be currently fit for purpose.
